Managing Invoices

Learn how to manage and organize your invoices

Invoice List View

The invoice list provides a comprehensive view of all your invoices with:

  • Search - Search by invoice number, customer name, or amount
  • Filters - Filter by status, date range, customer, and more
  • Sorting - Sort by date, amount, status, or customer
  • Bulk Actions - Select multiple invoices for batch operations

Filtering Invoices

Use filters to find specific invoices:

By Status

  • Draft
  • Sent
  • Paid
  • Partially Paid
  • Overdue
  • Cancelled

By Date Range

  • Today
  • This Week
  • This Month
  • This Quarter
  • This Year
  • Custom Range

By Customer

Filter invoices by specific customers

By Amount

Filter by invoice amount ranges

Invoice Actions

View Invoice Details

Click on any invoice to view:

  • Complete invoice details
  • Payment history
  • Email history
  • Notes and comments
  • Reminder history

Edit Invoice

  1. Open the invoice
  2. Click Edit
  3. Make changes
  4. Save

Note: Some fields may be locked for paid invoices.

Duplicate Invoice

Create a copy of an existing invoice:

  1. Open the invoice
  2. Click Duplicate
  3. Edit as needed
  4. Save as new invoice

Delete Invoice

Delete invoices that haven't been paid:

  1. Open the invoice
  2. Click Delete
  3. Confirm deletion

Warning: Deleted invoices cannot be recovered.

Bulk Operations

Select multiple invoices to:

  • Export - Export selected invoices to CSV or Excel
  • Change Status - Update status for multiple invoices
  • Send Emails - Send invoices to customers
  • Delete - Remove multiple invoices

Invoice Details Page

The invoice details page includes several sections:

Details Tab

  • Invoice information
  • Line items
  • Totals and tax breakdown
  • Customer and company information

Payments Tab

  • Payment history
  • Add new payment
  • Payment plans and installments
  • Payment receipts

Emails Tab

  • Email history
  • Send invoice via email
  • Email tracking (opens, clicks, delivery status)

  • Internal notes
  • Customer notes
  • Activity log

Reminders Tab

  • Payment reminder history
  • Send manual reminder
  • Automated reminder settings

Exporting Invoices

Export invoices in various formats:

  1. Select invoices (or use "Select All")
  2. Click Export
  3. Choose format:
    • CSV - For spreadsheet applications
    • Excel - Excel-compatible format
    • PDF - Individual PDF files

Invoice Numbering

Invoice numbers are auto-generated but can be customized:

  • Format: Configurable in settings
  • Sequential: Automatically increments
  • Custom: Can be manually set per invoice

Best Practices

  1. Regular Review - Review invoices regularly to track status
  2. Follow Up - Use reminders for overdue invoices
  3. Organize - Use filters and tags to organize invoices
  4. Backup - Export invoices regularly for backup
  5. Track Payments - Record all payments promptly
